Data We Collect
We collect information you provide: name, email, business details, clients, appointments, invoices, expenses, and documents you upload (including photos for receipts and job files). We use this to operate Ten99 and deliver the services you subscribe to.
How We Use Your Data
Your data powers your Ten99 workspace: scheduling, invoicing, client management, expense tracking, and tax planning. We do not sell your data. We may use aggregated, anonymized data to improve our services.
Autonomous Inbound Email Parsing & Privacy
To streamline your workflow, Ten99 provides an automated background parsing feature powered by secure machine-learning engines (including Vertex AI integration).
- Data Scoping: Our system programmatically scans incoming freelance assignment emails strictly to extract essential scheduling and billing parameters (such as confirmation dates, times, assignment numbers, and location coordinates).
- Machine-Level Privacy Isolation: This data ingestion is fully automated. No human eyes review your inbound message data. The extracted fields are immediately placed securely behind your unexposed authentication layer.
- User Control & Verification: Extracted data populates draft calendar events and invoices automatically, remaining in a pending state. Final execution, editing, or transmission of invoices is strictly controlled by you when you unlock your secure workspace.
Storage & Security
Data is stored on secure cloud infrastructure. We use industry-standard encryption and access controls. Access to your data is limited to what is needed to run the service and support you.
Confidentiality by Design & Privacy Protections (RID CPC 1.0 Aligned)
To ensure compliance with the Registry of Interpreters for the Deaf (RID) Code of Professional Conduct regarding confidentiality, Ten99 and TenLINK enforce strict data-isolation boundaries:
- Home Screen Widgets & System Notifications: To prevent accidental visual leaks of Protected Health Information (PHI) or sensitive client details to passersby, our iOS/Android Home Screen widgets and lock-screen notifications never display explicit client names, confidential job files, or sensitive context. They display only the date, time, and basic scheduling event counters.
- The Authentication Gate: Full assignment data, consumer information, billing addresses, and uploaded job files remain encrypted and securely hidden behind our password authentication layer. A user must actively unlock the application to view daily agenda details or access data.
- Appointment Confirmations & GPS Data: Dispatch confirmations and scheduling entries restrict data visibility. While company names and location coordinates may be provided strictly for automated GPS navigation routing, primary consumer contexts remain concealed until authenticated.
- Protected Work Assets & Files: All uploaded operational files—including blueprints, reference images, tattoo designs, and case documents—are treated as confidential work products. They are held in secure cloud storage and are only accessible to authorized users behind the authentication gate.
Third-Party Services
We use Firebase (authentication, database, storage), Vercel (hosting), and payment processors for subscriptions. These providers have their own privacy policies and comply with applicable data protection laws.
Healthcare Infrastructure Compliance: For institutional users operating under enterprise agreements, our underlying video communication architecture supports HIPAA-compliant transmission through certified third-party frameworks. Business Associate Agreements (BAAs) are executed at the organizational/agency account layer where applicable.
Subscriptions & Payments
When you subscribe to Ten99 Pro through the App Store, Apple processes payment and may share purchase status with us so we can unlock your account. We receive subscription identifiers and entitlement status from RevenueCat and Apple — not your full payment card details. Manage billing and cancellation in your Apple ID subscription settings or in the Ten99 app.
Mobile App
The Ten99 iOS and Android apps use the camera and photo library when you choose to capture or attach images (e.g., receipts, documents). Push notifications are used to alert you to invoices, appointments, and other activity. You can manage notification preferences in Settings.
Your Rights
You can access, correct, or delete your data through your account settings or by contacting us. You may export your data and request account deletion. We retain data as needed for legal and operational purposes.
